(This post is the second of a two-part series on managing email using small business document management software.)
In the first part of this two-post series, we saw how to import email messages and their attachments to Sohodox. The POP3 email capture feature is especially useful for archiving email. Here, we’ll first look at Sohodox’s ability to manage email better than just use a program like MS Outlook.
How document management software Sohodox helps manage email better
Here’s why using Sohodox is a great way to manage email:
- Stores email with the rest of your document database using a single application. This means you need not open your email program to find messages or attachments.
- Helps you tag email, store them in folders and store indexing information just like it’s done for other documents in the database.
- Uses the same search features to retrieve email as for other documents. This makes it ideal to archive email for long term storage, because on occasions when they may be required, it’s easy to retrieve them from the archive.
- Solves the problem of multiple email copies. That’s because messages that need to be viewed by all your employees need not be emailed to each of them; rather, they can be imported in to Sohodox and stored in a Public Folder.
Send email using Sohodox
Receiving email is fine, but what about sending email? You may never refer to archived documents again, but you may still need to share current documents in various ways, one of which is via email. Sohodox lets you share files not only by printing and faxing them, but also by sending them via email using its own interface. All you need to do is select the document(s) you want to send and then click the Email button on the Sohodox interface. This will open your default email application’s Compose window with the selected document(s) already attached. Just add recipients and hit the Send button to send the email.
A good way to try out Sohodox’s email management capabilities is to download the 30-day free trial.
